We have an opportunity for an Administration Assistant to work in our Glasgow office.

Reporting to the Regional Contracts Manager, you will provide administration support to the small team who work in this office, as well as providing support to the Regional Contracts Manager and Regional Commercial Manager when required.

Key responsibilities and accountabilities include, but are not limited to:

• Answering and directing telephone calls and carrying out reception duties on an ad hoc basis
• Managing meeting room bookings and arranging catering
• Pro-actively monitoring email inboxes, ensuring any urgent requests are raised/ dealt with in an efficient manner
• Supporting with organising events and assisting with the organisation and scheduling of appointments and meetings
• Writing and distributing emails, correspondence memos, letters and forms
• Management of administrative systems and records
• General administrative and clerical support where required
• Managing complex diaries, prioritising meetings and arranging tender and client meetings
• Maintaining spreadsheets of office expenditure, credit card expenditure and BACS/cheque payments and providing reports as required
• Booking accommodation and travel for Scotland based staff in line with company policy
• Ordering office consumables as needed and managing incoming and outgoing mail, including maintaining credit on the franking machine
• Managing signature folders for the Commercial and Contracts manager
• Acting as a point of contact for internal and external clients

The successful candidate will be IT literate, with a good working knowledge of MS office, particularly Word, Excel, Powerpoint and Outlook. They will have excellent communication skills, and will be able to manage their own workload to ensure tasks are delivered as required. Good GCSE results are expected as a minimum.
